# Meetings

> Send Clara to a Google Meet, Zoom, or Microsoft Teams call to transcribe it and surface gaps while the right people are in the room.

Clara can join a virtual meeting on behalf of a knowledge store. She transcribes the conversation and, using what the store already knows, surfaces contradictions, open questions, action items and takeaways while the call is still running. After the call, the recording, transcript and Clara's notes stay in the store, ready to consolidate into your [artifacts](/guides/artifacts).

## Supported platforms

Clara joins **Google Meet**, **Zoom**, and **Microsoft Teams** meetings. She appears in the call as **Clara from Clarifeye** and posts a message in the meeting chat to let participants know she is recording and transcribing on behalf of your organization.

## Send Clara to a meeting

### From a meeting link

1. Open **Meetings** in the store's sidebar.
2. Click **Send Clara to a meeting**.
3. Paste the **Meeting link**.
4. Under **When does it start?**, choose:
   * **Now**: Clara asks to join straight away, so someone in the call has to admit her.
   * **Later**: pick the start time. Clara joins two minutes before it. No calendar connection is needed.
5. Optionally, set the **Language**, a **Title**, and describe **What is this meeting about?**
6. Click **Send Clara** or **Schedule Clara**.

### From your calendar

If calendar connections are available on your instance, click **Your calendar** on the Meetings page and connect Google Calendar or Microsoft Outlook. Clarifeye lists your meetings with a video link for the next two weeks; turn on **Clara joins** for the ones you want her to attend.

Only you can see your calendar events. Nobody else in the store sees them unless you send Clara to one. You can also manage your calendar connections from **My Account**.

### From an AI client or Work with Clara

You can ask Clara to join a meeting from [Work with Clara](/guides/work-with-clara), or from an AI client connected through the [Clarifeye skill](/guides/mcp). The MCP tools `send_clara_to_meeting`, `set_meeting_brief`, `list_meetings`, and `get_meeting` cover sending Clara, writing the brief, and reading meetings and their insights.

## Prepare Clara before the meeting

For a scheduled meeting, open it from the list (**Prepare Clara**) and give Clara context:

* **Brief**: what the meeting is for, the decisions to take, who is in the room. Click **Save brief**. If the brief was copied from your calendar invite, review it and save it.
* **Files**: upload or drop an agenda, slides or past notes.

Clara prepares from the brief and files before the call, so questions and contradictions are ready when it starts. The brief can be edited until Clara starts recording.

## Admit Clara and follow the call

When Clara arrives, admit **Clara from Clarifeye** from the meeting lobby. On Zoom, the host also needs to allow her to record when prompted.

While the meeting is live, open it to see:

* **Transcript**: the conversation as it happens.
* **Insights**, sorted into **Contradictions**, **Questions**, **Action items** and **Takeaways**, with a running **Summary**.

On each insight you can click **Show in transcript**, **I asked this** (Clara then listens for the answer), or **Dismiss**. Click **Refresh now** to ask Clara for a new pass immediately.

To remove Clara, use **Ask Clara to leave** in the meeting's menu. For a scheduled meeting, use **Remove Clara**.

## After the meeting

Once the call ends, Clara prepares the final transcript. When the meeting is **Ready**, you can:

* Rewatch the **recording**, synced with the transcript.
* Read **Clara's notes**: **Takeaways**, **Action items**, **Contradictions**, and what was **Left open**.
* Click **Analyze with Clara** to open [Work with Clara](/guides/work-with-clara) on the meeting and turn it into updates to your artifacts.

The meeting transcript is searchable alongside your [interviews](/guides/interviews), so Clara can draw on it later.

## Meeting statuses

| Status | What it means |
| - | - |
| **Scheduled** | Clara will join two minutes before the start time. |
| **Joining** | Clara is connecting to the call. |
| **Waiting to be admitted** | Clara is in the lobby. Ask the organizer to admit **Clara from Clarifeye**. |
| **In call, not recording** | Clara is in the call but can't transcribe yet. On Zoom, the host needs to allow recording. |
| **Live** | Clara is recording and producing insights. |
| **Call ended** | The meeting is over. |
| **Processing** | Clara is preparing the final transcript and notes. |
| **Ready** | The recording, transcript and notes are available. |
| **Failed** | Clara couldn't join. Use **Send Clara again** to retry. |
| **Cancelled** | Clara was removed before the meeting. |

Clara leaves automatically if nobody admits her within 15 minutes, if nobody joins within 15 minutes, or shortly after everyone else has left.

## Meeting languages

Clara expects a main language and up to three other languages people may switch to. You can set them for each meeting. Organization admins can set default meeting languages for the whole organization in **Settings**, see [Organization settings](/guides/organization-settings#settings). Without a default, each meeting starts from the language of the person who sends Clara.

## Delete a meeting

From the meeting's menu, click **Delete**. The meeting and its transcript are deleted permanently.
